How to Get the WhatsApp Business API in India: A Step-by-Step Setup Guide

Moving from the WhatsApp Business app to the WhatsApp Business Platform unlocks automation, multiple agents and integrations. Here is what you need, how the setup works and how to avoid the common delays.

Many Indian businesses start with the free WhatsApp Business app on a single phone. It works well until enquiries grow: several staff need to reply, you want automatic order updates from your website, or you want to send reminders to hundreds of customers. That is when you need the WhatsApp Business Platform, usually called the WhatsApp Business API.

This guide explains, step by step, how an Indian business gets set up on the platform, what documents and decisions are involved, and what happens after you go live. What you need before you start

  • A Meta Business portfolio (formerly Business Manager) in your business's legal name
  • Business documents that match that name, such as a GST certificate, certificate of incorporation, Udyam registration or utility bill with the business address
  • A website that clearly shows your business name, contact details and what you sell; Meta reviews this during verification
  • A phone number that can receive an SMS or voice call for verification; a landline or mobile works
  • A provider, either a Business Solution Provider (BSP) or tech provider, unless you plan to integrate directly with Meta's Cloud API using your own developers
  • A payment method for Meta's message charges

Step 1: Choose how you will connect

You have two broad options:

  • Through a provider (most common). A BSP gives you a ready-made inbox, campaign tools, chatbot builder and integrations, and helps with onboarding. You pay the provider's fees plus Meta's message charges.
  • Directly through Meta's Cloud API. Suitable if you have developers who will build your own interface and integrations. You pay Meta's charges only, but you build and maintain everything yourself.

Step 2: Prepare your phone number

The number you register will be the one customers see and message. Decide carefully:

  • Use a number your customers already know if possible, such as the number on your shop board, Google Business Profile or website.
  • If the number is currently on the WhatsApp Business app, you have options. You can migrate it to the platform, which removes it from the app, or, where your provider supports it, use Meta's coexistence feature, which lets you keep using the app on the same number alongside the platform. Ask your provider which approach suits you.
  • Make sure the number can receive a verification code by SMS or call during setup.

Step 3: Create your WhatsApp Business Account and display name

During onboarding (usually through your provider's embedded signup), you create a WhatsApp Business Account (WABA) linked to your Meta Business portfolio and choose a display name. Meta reviews display names. To avoid rejection:

  • Use your real business or brand name, consistent with your website and documents
  • Avoid generic words alone (such as "Best Deals") and avoid unnecessary capital letters or symbols
  • Do not use another company's brand name unless you are authorised

Add a profile picture (usually your logo), business description, address, email and website in your profile.

Step 4: Verify your business with Meta

Business verification is not always required to start, but it matters. Meta's messaging limits documentation says newly created business portfolios can message 250 unique customers in a moving 24-hour period outside customer service windows. Verifying your business is one of the ways to raise that limit to 2,000, after which Meta can raise it automatically to 10,000, 100,000 and unlimited based on quality and usage.

Verification usually fails because of mismatches. Make sure the legal name, address and phone number on your documents match what you enter in Meta Business Suite and what appears on your website.

Step 5: Set up opt-in

WhatsApp requires that you only message customers who have opted in to receive messages from your business. Opt-in can be collected through:

  • A checkbox on your website checkout or enquiry form (not pre-ticked), with clear wording
  • A Click-to-WhatsApp ad or "Chat on WhatsApp" button where the customer starts the conversation
  • In-store forms or QR codes with clear wording
  • A reply to an SMS or email that asks permission

Step 6: Create and submit message templates

To start a conversation, or to message a customer more than 24 hours after their last message, you must use a pre-approved template. Templates are categorised as marketing, utility or authentication, and each has its own rate.

Start with a small set of useful templates:

  • Order confirmation and shipping update (utility)
  • Appointment confirmation and reminder (utility)
  • OTP for login or payment (authentication)
  • A monthly offer or new arrivals message (marketing)

Step 7: Connect your systems

The real value of the platform comes from integrations:

  • E-commerce: Shopify, WooCommerce or custom stores for order and delivery updates
  • CRM: lead capture and follow-up from ads and website forms
  • Booking systems: appointment confirmations and reminders for clinics, salons and service businesses
  • Payment links: reminders with links to pay online
  • Chatbots: menu-based answers for common questions, with handover to staff

Plan which events trigger which templates before your provider sets up automations.

Step 8: Go live and protect your quality rating

After launch, Meta monitors how customers respond to your messages. If many customers block or report your business, your quality rating falls, and Meta can restrict your messaging limits or templates. Keep quality high by:

  • Messaging only opted-in customers
  • Sending relevant, expected messages rather than frequent generic promotions
  • Making it easy to stop marketing messages, for example with a "Stop" quick-reply button
  • Answering customer replies quickly

How long does setup take?

With documents ready and a clear website, a basic setup through a provider can be completed quickly, sometimes within a day for the account and number. Business verification, display name review and template approvals can take longer, and integrations depend on your systems. Plan a few working days to a couple of weeks for a complete launch with templates and automation.
