Order Received SMS Template for Wholesalers & Distributors
A ready-to-adapt SMS message for wholesalers, distributors and stockists, with placeholders, sample values and compliance notes.
When to Send This Message
Send when a retailer's order is booked. For wholesalers, distributors and stockists, this is one of the everyday messages that keeps retailers informed without a phone call. It can be sent manually from a panel at first and automated later through an API.
The business runs on relationships, credit terms and reliable dispatch, so clear, regular communication saves time for both sides.
The SMS Template
India (DLT format)
Dear {#var#}, your order {#var#} with [Business Name] has been received. Order value Rs. {#var#}. Expected delivery: {#var#}.International (plain text)
Dear {retailer}, your order {order_id} with [Business Name] has been received. Order value Rs. {amount}. Expected delivery: {date}.Example with sample values
Dear Sharma General Store, your order WD-3321 with [Business Name] has been received. Order value Rs. 18,450. Expected delivery: 18 Oct.
With these sample values the message is 138 characters in the standard GSM-7 character set, which is 1 SMS part (square brackets count as two characters each). Long links or local-language (Unicode) text increase the count, as Unicode SMS allow 70 characters per single part.
Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.
Placeholders and Sample Values
| Placeholder | Meaning | Sample value |
|---|---|---|
| {#var#} | Retailer | Sharma General Store |
| {#var#} | Order id | WD-3321 |
| {#var#} | Amount | 18,450 |
| {#var#} | Date | 18 Oct |
Filling in each placeholder
- Retailer (sample: Sharma General Store): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
- Order id (sample: WD-3321): Use the same reference format that appears on your invoices, receipts or software, so customers and staff can match it quickly.
- Amount (sample: 18,450): Write amounts as Rs. 1,499 rather than with the rupee symbol, which forces Unicode encoding in SMS and shortens each part to 70 characters.
- Date (sample: 18 Oct): Write dates in an unambiguous form such as 14 Oct or 14 Oct 2026; avoid formats like 10/11 that customers read differently.
This template has 4 placeholders and a body of 131 characters before values are filled in. Shorter messages cost less and are more likely to be read in full; aim to keep the filled-in message within one or two SMS parts.
Category and Approval
In India this type of message is usually registered as Service Implicit: it relates to an existing transaction or relationship and can be delivered to numbers on the DND registry. It must not contain promotional content.
Compliance Checklist
- The header (sender ID) and the template are registered on a DLT platform, and the template text matches exactly, apart from the variables.
- Each {#var#} holds only the kind of value it was registered for; most platforms limit each variable to 30 characters.
- Any link uses a domain whitelisted for your header, as TRAI requires for URLs in commercial SMS.
Rules to keep in mind for Wholesalers & Distributors
Retailer contact numbers should be used for business communication they expect; promotional schemes need opt-in. GST invoices and credit notes must carry correct details, and scheme messages should state validity and conditions.
General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our SMS compliance guide for India.
Tips for Better Results
- Send it as close as possible to the event it relates to, such as right after booking or the day before an appointment.
- Keep one purpose per message; if you need to send a reminder and a document, the reminder should still make sense on its own.
Where this message fits for Wholesalers & Distributors
Retailers, restaurants and other businesses buy from distributors based on price, credit terms, product range and delivery reliability. Regular orders are placed by phone, WhatsApp, sales reps or ordering portals, and stock availability updates, new lines and volume deals prompt extra orders.
WhatsApp catalogues and order templates handle repeat orders and price lists; SMS sends delivery windows and payment reminders; voice calls from sales reps maintain key accounts; email shares monthly price files and statements; search brings in new trade customers.

Questions About This Template
When should a distribution business send the order received message?
Send when a retailer's order is booked. If customers reply, make sure someone on your team monitors and answers.
Can I send this SMS in India without DLT registration?
No. Commercial SMS in India must use a header and a content template registered on a DLT platform. Messages that do not match a registered template are blocked by the operator.
What does {#var#} mean?
It marks the variable part of a DLT template, such as a name, date or amount. Everything outside the variables must be sent exactly as registered.
Can DND Teams set this up for my distribution business?
Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
