SMS is still one of the most reliable ways to reach customers. It works on every mobile phone, needs no app and is read quickly. Businesses use it for one-time passwords, appointment reminders, delivery notices, alerts and marketing promotions.
Choosing a provider, though, can be confusing. Websites promise "99% delivery" and "the cheapest rates", but the real differences lie in routing quality, compliance support, sender ID handling, integrations and support. This guide explains what to check.
Start with your use case
Different use cases need different strengths:
- OTPs and authentication: speed, reliability, high-priority routes and failover
- Transactional notifications: reliability, delivery reports and API integration
- Marketing campaigns: sender ID support, segmentation, scheduling, opt-out handling and compliance
- Two-way messaging: dedicated numbers, inbound handling and a shared inbox
- International sending: coverage, local regulations and per-country pricing
Write down your use cases, countries and expected monthly volumes before you compare providers.
The checklist
1. Delivery quality and routes
- Does the provider use direct connections to mobile operators, or reputable aggregators, in your key countries?
- Do they avoid "grey routes", which use unofficial paths that are cheaper but unreliable and may breach operator rules?
- What delivery reporting do they provide, and is it based on real handset receipts?
- Do they offer failover routes if one route has problems?
Very cheap international pricing can be a sign of grey routes. Messages may be delayed, fail, arrive with the wrong sender ID or be blocked.
2. Sender ID support
Sender ID rules vary widely by country:
- UAE: sender IDs must be registered, with marketing and transactional IDs handled differently; see our UAE sender ID guide
- Saudi Arabia: sender names must be registered through approved channels under CST rules
- Singapore: alphanumeric sender IDs must be registered with the SSIR, or messages are labelled "Likely-SCAM"
- US: business texting from 10-digit numbers requires 10DLC registration; toll-free numbers need verification; alphanumeric sender IDs are not supported
- UK, Australia and New Zealand: alphanumeric sender IDs are widely supported, with anti-impersonation protections developing
Ask whether the provider can register and manage sender IDs in each country you need.
3. Pricing
- Is pricing per SMS segment, and how are long and Unicode messages charged?
- Are there monthly fees, setup fees or minimums?
- How are failed messages charged?
- Are sender ID registration and number rental fees separate?
- Do credits expire?
- Is pricing in your local currency?
Remember that a standard SMS segment holds 160 GSM-7 characters, while Unicode messages, needed for Arabic, Chinese, Hindi or emojis, hold 70 characters, and longer messages are split into multiple segments.
4. Compliance support
- Does the platform handle opt-outs automatically?
- Can it store consent records?
- Does it support quiet hours and time zone scheduling?
- Does it help with Do Not Call checks where required, such as Singapore's DNC Registry?
- Does the provider understand rules such as the TCPA, PECR, CASL, the Spam Act, UEMA and the PDPA?
A good provider will not offer legal advice but will help you configure the platform for compliance.

Red flags
- Unrealistically low prices for international SMS
- Promises to send to anyone without consent
- No delivery reports, or reports that always show 100% success
- Offers to "bypass" sender ID registration or DNC rules
- No clear company details or terms
- Credits that expire quickly without warning
Running a fair test
- Send test messages to real phones on each major network in your key countries.
- Check delivery time, sender ID display and message formatting.
- Compare delivery reports with what actually arrived.
- Test opt-out handling and two-way replies.
- Test the API and webhooks if you will integrate.
- Contact support with a question and measure response time.
SMS alongside other channels
Many businesses combine SMS with WhatsApp, RCS and email. SMS remains the universal fallback for critical messages. A provider that also supports WhatsApp or RCS can simplify operations, but do not choose a weaker SMS provider just for that.
Total cost of ownership
The cheapest price per message is not always the cheapest overall. Factor in delivery rates, since undelivered messages still cost money and lose customers, failed OTPs that lead to abandoned sign-ups, staff time spent working around limitations and the cost of compliance problems. A slightly higher per-message price for better routes can be the better deal.

Matching provider to business size
Small businesses often need a simple dashboard, transparent prepaid pricing and help with sender ID setup. Growing businesses need APIs, integrations and automation. Enterprises need direct routes, high throughput, failover, dedicated support, security reviews and service level agreements. Choose a provider whose strengths match your stage, and check that it can grow with you.
Contracts and commitments
Read the terms carefully. Check minimum spend commitments, how unused credits are handled, notice periods, price change clauses and service level agreements. For OTP and critical alerts, an SLA with clear uptime and support commitments is valuable. Avoid long contracts until you have tested delivery quality in your key markets.
Migrating from another provider
Switching SMS providers is usually straightforward but needs planning. Transfer or re-register sender IDs where needed, port dedicated numbers if possible, export contacts with their consent and opt-out records, update API integrations and test thoroughly before moving live traffic. Running both providers in parallel for a short period reduces risk.
Message content tips
Whatever provider you choose, clear content improves results. Identify your brand at the start, keep messages short, use one call to action, avoid generic link shorteners and include opt-out instructions in marketing messages.
