Event Night Invitation RCS Template for Restaurants & Cafes
A ready-to-adapt RCS message for restaurants, cafes and cloud kitchens, with placeholders, sample values and compliance notes.
When to Send This Message
Send to opted-in customers a few days before an event. For restaurants, cafes and cloud kitchens, this is one of the everyday messages that keeps diners informed without a phone call. It works best when it is triggered automatically from your booking, billing or CRM software.
Regulars bring most of the revenue, so table bookings, direct orders and well-timed offers matter more than one-off promotions.

Placeholders and Sample Values
| Placeholder | Meaning | Sample value |
|---|---|---|
| {event} | Event | a live music evening |
| {date} | Date | 25 Oct |
| {time} | Time | 8 PM |
| {phone} | Phone | 0755-XXXXXXX |
Filling in each placeholder
- Event (sample: a live music evening): Keep the value short and specific; test the longest realistic value to check the message still reads well.
- Date (sample: 25 Oct): Write dates in an unambiguous form such as 14 Oct or 14 Oct 2026; avoid formats like 10/11 that customers read differently.
- Time (sample: 8 PM): Give times with AM/PM or a clear range, and the time zone if the customer may be in another country.
- Phone (sample: 0755-XXXXXXX): Use a number the customer can actually reach during business hours, ideally one already shown on your website.
This template has 4 placeholders and a body of 113 characters before values are filled in. RCS card descriptions can be longer than SMS, but the first line should still carry the key information, as previews are truncated.
Category and Approval
Promotional RCS messages should only go to customers who have agreed to receive marketing messages, with an easy way to opt out, following the same consent principles as SMS.
Compliance Checklist
- Your brand (name, logo and description) is verified with the RCS provider before launch.
- Suggested replies and actions are short (25 characters or fewer per chip) and each one leads somewhere useful.
- An SMS fallback is configured, and in India the fallback text uses a DLT-registered template.
Rules to keep in mind for Restaurants & Cafes
Food businesses must display their FSSAI licence number, and menu and offer messages should state prices inclusive of applicable taxes. Promotional messages need opt-in, and alcohol advertising is prohibited in India.
General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our RCS compliance guide for India.
Tips for Better Results
- Limit frequency; a few relevant messages perform better and attract fewer opt-outs than frequent broadcasts.
- Send only to people who have opted in, and record when and where they did so.
Getting the event night invitation message right
Give the date, time, theme and performer, the cover charge or minimum spend, and a link to reserve a table. Event nights fill quickly, so mention if bookings are required.
Where this message fits for Restaurants & Cafes
Diners search 'restaurants near me', check menus, photos and reviews on Google Maps, Instagram or delivery apps, and then book a table or order online. Regulars are won through good experiences, loyalty offers and remembering their preferences.
Google Maps and delivery apps drive discovery; Instagram and TikTok show dishes and atmosphere; WhatsApp takes reservations and orders; SMS sends booking confirmations and loyalty offers; email shares event and menu news.

- Birthday offers for loyalty members
- Quiet-day promotions on Monday and Tuesday evenings

Questions About This Template
When should a restaurant send the event night invitation message?
Send to opted-in customers a few days before an event. Automate it from your software where possible so it is never forgotten.
What happens if the customer's phone does not support RCS?
The message falls back to SMS. In India the fallback must use a DLT-registered template, which is why this page includes the SMS version.
Can I add images to this message?
Yes. A rich card can include an image or short video. Keep important details in the text as well, since not everyone views the image.
Can DND Teams set this up for my restaurant?
Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
