Monthly Donation Reminder RCS Template for NGOs & Non-profits
A ready-to-adapt RCS message for NGOs, trusts and non-profit organisations, with placeholders, sample values and compliance notes.
When to Send This Message
Send to monthly donors who chose manual payment. For NGOs, trusts and non-profit organisations, this is one of the everyday messages that keeps donors and volunteers informed without a phone call. Most businesses send it automatically from their software, so the timing is consistent.
Donors and volunteers want to see impact, transparency and simple ways to give.
The RCS Template
Monthly Donation Reminder
Dear {donor}, this is a reminder for your monthly contribution of Rs. {amount} to [Business Name]. You can give here: {link}. Reply STOP to pause reminders.SMS fallback (India, DLT format)
Dear {#var#}, this is a reminder for your monthly contribution of Rs. {#var#} to [Business Name]. You can give here: {#var#}. Reply STOP to pause reminders.Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.
Placeholders and Sample Values
| Placeholder | Meaning | Sample value |
|---|---|---|
| {donor} | Donor | Ms. Iyer |
| {amount} | Amount | 500 |
| {link} | Link | https://example.com/d/NG3 |
Filling in each placeholder
- Donor (sample: Ms. Iyer): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
- Amount (sample: 500): Write amounts as Rs. 1,499 rather than with the rupee symbol, which forces Unicode encoding in SMS and shortens each part to 70 characters.
- Link (sample: https://example.com/d/NG3): Use your own short, recognisable domain; for SMS in India the domain must be whitelisted on DLT, and each variable is usually limited to 30 characters.
This template has 3 placeholders and a body of 156 characters before values are filled in. RCS card descriptions can be longer than SMS, but the first line should still carry the key information, as previews are truncated.
Category and Approval
Service updates like this suit RCS well because a card can carry buttons such as confirm, reschedule or get directions. The message must still relate to the customer's existing transaction.
Compliance Checklist
- Images are clear, sized as the provider recommends, and do not hide important information that is missing from the text.
- Promotional rich cards go only to customers who have agreed to receive them.
- Your brand (name, logo and description) is verified with the RCS provider before launch.
Rules to keep in mind for NGOs & Non-profits
Donation receipts for 80G should be issued only if the organisation holds valid registration, and foreign contributions need FCRA registration. Impact figures shared publicly should be documented, and donor data must be protected under the DPDP Act, 2023.
General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our RCS compliance guide for India.
Tips for Better Results
- Send it as close as possible to the event it relates to, such as right after booking or the day before an appointment.
- Keep one purpose per message; if you need to send a reminder and a document, the reminder should still make sense on its own.
Getting the monthly donation reminder message right
Remind donors of the date and amount, and make it easy to change or pause.
Where this message fits for NGOs & Non-profits
Donors and volunteers learn about a cause through social media, events, news or friends, check the organisation's registration, transparency and impact reports, and then give online or sign up. Regular givers are won by prompt thanks, clear receipts and stories showing what their money achieved.
Social media and email tell impact stories; search brings people looking for causes or volunteering; WhatsApp keeps volunteer groups updated; SMS sends donation receipts, event reminders and urgent appeals; voice calls thank major donors.
Campaign ideas that pair with this template

Questions About This Template
When should a NGO send the monthly donation reminder message?
Send to monthly donors who chose manual payment. Sending it at a consistent time builds trust and reduces follow-up calls.
What happens if the customer's phone does not support RCS?
The message falls back to SMS. In India the fallback must use a DLT-registered template, which is why this page includes the SMS version.
Do RCS messages need brand verification?
Yes. RCS business messages are sent from a verified brand profile with your name and logo, which needs to be approved before launch.
Can DND Teams set this up for my NGO?
Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
