Appointment Confirmation SMS Template for Hospitals & Clinics

A ready-to-adapt SMS message for hospitals and clinics, with placeholders, sample values and compliance notes.

When to Send This Message

Send immediately after an appointment is booked so the patient has the date, time and doctor in writing. For hospitals and clinics, this is one of the everyday messages that keeps patients informed without a phone call. Most businesses send it automatically from their software, so the timing is consistent.

Patients usually choose a hospital or clinic after searching for a specialist near them, checking doctor profiles and reviews, and calling or messaging to book.

The SMS Template

India (DLT format)

Header: [6-character header]-S · Category: Service Implicit

Dear {#var#}, your appointment with {#var#} at [Business Name] is confirmed for {#var#} at {#var#}. Please carry your previous prescriptions and reports. To reschedule, call {#var#}.

International (plain text)

Dear {patient}, your appointment with {doctor} at [Business Name] is confirmed for {date} at {time}. Please carry your previous prescriptions and reports. To reschedule, call {phone}.

Example with sample values

Dear Ravi, your appointment with Dr. Sharma at [Business Name] is confirmed for 14 Oct at 10:30 AM. Please carry your previous prescriptions and reports. To reschedule, call 0755-XXXXXXX.

With these sample values the message is 189 characters in the standard GSM-7 character set, which is 2 SMS parts (square brackets count as two characters each). Long links or local-language (Unicode) text increase the count, as Unicode SMS allow 70 characters per single part.

Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.

Placeholders and Sample Values

PlaceholderMeaningSample value
{#var#}PatientRavi
{#var#}DoctorDr. Sharma
{#var#}Date14 Oct
{#var#}Time10:30 AM
{#var#}Phone0755-XXXXXXX

Filling in each placeholder

  • Patient (sample: Ravi): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
  • Doctor (sample: Dr. Sharma): Keep the value short and specific; test the longest realistic value to check the message still reads well.
  • Date (sample: 14 Oct): Write dates in an unambiguous form such as 14 Oct or 14 Oct 2026; avoid formats like 10/11 that customers read differently.
  • Time (sample: 10:30 AM): Give times with AM/PM or a clear range, and the time zone if the customer may be in another country.
  • Phone (sample: 0755-XXXXXXX): Use a number the customer can actually reach during business hours, ideally one already shown on your website.

This template has 5 placeholders and a body of 183 characters before values are filled in. Shorter messages cost less and are more likely to be read in full; aim to keep the filled-in message within one or two SMS parts.

Category and Approval

In India this type of message is usually registered as Service Implicit: it relates to an existing transaction or relationship and can be delivered to numbers on the DND registry. It must not contain promotional content.

Compliance Checklist

  • The header (sender ID) and the template are registered on a DLT platform, and the template text matches exactly, apart from the variables.
  • Each {#var#} holds only the kind of value it was registered for; most platforms limit each variable to 30 characters.
  • Any link uses a domain whitelisted for your header, as TRAI requires for URLs in commercial SMS.

Rules to keep in mind for Hospitals & Clinics

Medical advertising in India must follow the National Medical Commission's professional conduct rules for doctors, the Drugs and Magic Remedies (Objectionable Advertisements) Act and ASCI guidelines, so we avoid claims of guaranteed cures and before/after promises. Patient data is sensitive personal data and should be handled under the Digital Personal Data Protection Act, 2023.

General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our SMS compliance guide for India.

Tips for Better Results

  • Send it as close as possible to the event it relates to, such as right after booking or the day before an appointment.
  • Keep one purpose per message; if you need to send a reminder and a document, the reminder should still make sense on its own.

Where this message fits for Hospitals & Clinics

Most patients start with a symptom or a referral, search for a specialist or department near them, compare doctors' profiles, reviews and insurance acceptance, then book by phone, web form or WhatsApp. After the visit, they need reports, follow-up reminders and billing answers, and good aftercare is what turns a one-off patient into a family that returns.

Search and Google Business Profile listings bring new patients; WhatsApp handles appointment questions and directions; SMS carries confirmations and reminders because it reaches every phone; voice IVR routes calls to departments and handles after-hours triage messages; email suits health check packages and corporate wellness programmes.

Campaign ideas that pair with this template

  • Annual health check package reminders sent on the anniversary of a patient's last check-up
  • Vaccination and flu-season campaigns for families, with one-tap booking links
  • Post-discharge WhatsApp follow-ups that ask how the patient is recovering and offer a teleconsultation

Questions About This Template

When should a hospital or clinic send the appointment confirmation message?

Send immediately after an appointment is booked so the patient has the date, time and doctor in writing. Sending it at a consistent time builds trust and reduces follow-up calls.

Can I send this SMS in India without DLT registration?

No. Commercial SMS in India must use a header and a content template registered on a DLT platform. Messages that do not match a registered template are blocked by the operator.

What does {#var#} mean?

It marks the variable part of a DLT template, such as a name, date or amount. Everything outside the variables must be sent exactly as registered.

Can DND Teams set this up for my hospital or clinic?

Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
