Fee Payment Confirmation SMS Template for Colleges & Universities

A ready-to-adapt SMS message for colleges and universities, with placeholders, sample values and compliance notes.

When to Send This Message

Send when an admission or semester fee is received. For colleges and universities, this is one of the everyday messages that keeps students informed without a phone call. It can be sent manually from a panel at first and automated later through an API.

Prospective students research programmes, eligibility, fees and placements across many institutions, usually on mobile.

The SMS Template

India (DLT format)

Header: [6-character header]-S · Category: Service Implicit

Dear {#var#}, we have received Rs. {#var#} towards your {#var#} at [Business Name]. Transaction ref {#var#}. Thank you.

International (plain text)

Dear {student}, we have received Rs. {amount} towards your {fee_type} at [Business Name]. Transaction ref {ref}. Thank you.

Example with sample values

Dear Kavya, we have received Rs. 45,000 towards your first-semester fee at [Business Name]. Transaction ref TXN88213. Thank you.

With these sample values the message is 130 characters in the standard GSM-7 character set, which is 1 SMS part (square brackets count as two characters each). Long links or local-language (Unicode) text increase the count, as Unicode SMS allow 70 characters per single part.

Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.

Placeholders and Sample Values

PlaceholderMeaningSample value
{#var#}StudentKavya
{#var#}Amount45,000
{#var#}Fee typefirst-semester fee
{#var#}RefTXN88213

Filling in each placeholder

  • Student (sample: Kavya): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
  • Amount (sample: 45,000): Write amounts as Rs. 1,499 rather than with the rupee symbol, which forces Unicode encoding in SMS and shortens each part to 70 characters.
  • Fee type (sample: first-semester fee): Keep the value short and specific; test the longest realistic value to check the message still reads well.
  • Ref (sample: TXN88213): Use the same reference format that appears on your invoices, receipts or software, so customers and staff can match it quickly.

This template has 4 placeholders and a body of 123 characters before values are filled in. Shorter messages cost less and are more likely to be read in full; aim to keep the filled-in message within one or two SMS parts.

Category and Approval

In India this type of message is usually registered as Service Implicit: it relates to an existing transaction or relationship and can be delivered to numbers on the DND registry. It must not contain promotional content.

Compliance Checklist

  • The brand name in the message matches your registered business or header.
  • Promotional versions are sent only within the permitted hours and only to recipients who have not opted out.
  • The header (sender ID) and the template are registered on a DLT platform, and the template text matches exactly, apart from the variables.

Rules to keep in mind for Colleges & Universities

Higher-education ads should state approvals (such as UGC, AICTE or the relevant council) accurately and avoid misleading placement or ranking claims, which the CCPA and ASCI have acted against. Student data from applications must be protected under the DPDP Act, 2023.

General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our SMS compliance guide for India.

Tips for Better Results

  • Send it as close as possible to the event it relates to, such as right after booking or the day before an appointment.
  • Keep one purpose per message; if you need to send a reminder and a document, the reminder should still make sense on its own.

Where this message fits for Colleges & Universities

Prospective students research programmes, rankings, fees, scholarships and visa options months in advance, often comparing several countries. They attend webinars or open days, apply, then need reminders about documents, deadlines and enrolment. International students rely heavily on WhatsApp and email for answers.

Search and programme pages bring organic enquiries; social ads and webinars build awareness; email nurtures applicants through the cycle; WhatsApp answers questions quickly, especially from international applicants; SMS handles deadline and interview reminders.

Campaign ideas that pair with this template

  • Application deadline reminder sequences by programme
  • Scholarship webinar invitations for international students
  • Offer-holder engagement messages to reduce drop-off before enrolment

Questions About This Template

When should a college send the fee payment confirmation message?

Send when an admission or semester fee is received. If customers reply, make sure someone on your team monitors and answers.

Can I send this SMS in India without DLT registration?

No. Commercial SMS in India must use a header and a content template registered on a DLT platform. Messages that do not match a registered template are blocked by the operator.

What does {#var#} mean?

It marks the variable part of a DLT template, such as a name, date or amount. Everything outside the variables must be sent exactly as registered.

Can DND Teams set this up for my college?

Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
