Report Ready Notification RCS Template for Hospitals & Clinics
A ready-to-adapt RCS message for hospitals and clinics, with placeholders, sample values and compliance notes.
When to Send This Message
Send when test or imaging reports are available for collection or download. For hospitals and clinics, this is one of the everyday messages that keeps patients informed without a phone call. It can be sent manually from a panel at first and automated later through an API.
Patients usually choose a hospital or clinic after searching for a specialist near them, checking doctor profiles and reviews, and calling or messaging to book.
The RCS Template
Report Ready Notification
Dear {patient}, your {test} report is ready at [Business Name]. You can collect it from the reports counter or download it using this secure link: {link}SMS fallback (India, DLT format)
Dear {#var#}, your {#var#} report is ready at [Business Name]. You can collect it from the reports counter or download it using this secure link: {#var#}Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.
Placeholders and Sample Values
| Placeholder | Meaning | Sample value |
|---|---|---|
| {patient} | Patient | Ravi |
| {test} | Test | blood test |
| {link} | Link | https://example.com/r/AB12 |
Filling in each placeholder
- Patient (sample: Ravi): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
- Test (sample: blood test): Keep the value short and specific; test the longest realistic value to check the message still reads well.
- Link (sample: https://example.com/r/AB12): Use your own short, recognisable domain; for SMS in India the domain must be whitelisted on DLT, and each variable is usually limited to 30 characters.
This template has 3 placeholders and a body of 153 characters before values are filled in. RCS card descriptions can be longer than SMS, but the first line should still carry the key information, as previews are truncated.
Category and Approval
Service updates like this suit RCS well because a card can carry buttons such as confirm, reschedule or get directions. The message must still relate to the customer's existing transaction.
Compliance Checklist
- An SMS fallback is configured, and in India the fallback text uses a DLT-registered template.
- Images are clear, sized as the provider recommends, and do not hide important information that is missing from the text.
- Promotional rich cards go only to customers who have agreed to receive them.
Rules to keep in mind for Hospitals & Clinics
Medical advertising in India must follow the National Medical Commission's professional conduct rules for doctors, the Drugs and Magic Remedies (Objectionable Advertisements) Act and ASCI guidelines, so we avoid claims of guaranteed cures and before/after promises. Patient data is sensitive personal data and should be handled under the Digital Personal Data Protection Act, 2023.
General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our RCS compliance guide for India.
Tips for Better Results
- Use the customer's name and a reference number so the message is easy to trust and to search for later.
- Send it as close as possible to the event it relates to, such as right after booking or the day before an appointment.
Where this message fits for Hospitals & Clinics
Most patients start with a symptom or a referral, search for a specialist or department near them, compare doctors' profiles, reviews and insurance acceptance, then book by phone, web form or WhatsApp. After the visit, they need reports, follow-up reminders and billing answers, and good aftercare is what turns a one-off patient into a family that returns.
Search and Google Business Profile listings bring new patients; WhatsApp handles appointment questions and directions; SMS carries confirmations and reminders because it reaches every phone; voice IVR routes calls to departments and handles after-hours triage messages; email suits health check packages and corporate wellness programmes.
Campaign ideas that pair with this template
- Annual health check package reminders sent on the anniversary of a patient's last check-up
- Vaccination and flu-season campaigns for families, with one-tap booking links
- Post-discharge WhatsApp follow-ups that ask how the patient is recovering and offer a teleconsultation

Questions About This Template
When should a hospital or clinic send the report ready notification message?
Send when test or imaging reports are available for collection or download. If customers reply, make sure someone on your team monitors and answers.
What happens if the customer's phone does not support RCS?
The message falls back to SMS. In India the fallback must use a DLT-registered template, which is why this page includes the SMS version.
Can I add images to this message?
Yes. A rich card can include an image or short video. Keep important details in the text as well, since not everyone views the image.
Can DND Teams set this up for my hospital or clinic?
Yes. We adapt the template to your business, register or submit it, and connect it to your software or our panel. Share your use case on WhatsApp or through the form.
