Document Request WhatsApp Template for Law Firms & Advocates
A ready-to-adapt WhatsApp message for law firms and advocates, with placeholders, sample values and compliance notes.
When to Send This Message
Send when the firm needs documents from a client. For law firms and advocates, this is one of the everyday messages that keeps clients informed without a phone call. It can be sent manually from a panel at first and automated later through an API.
For existing clients, hearing dates, document requests and fee communication are the main touchpoints.

Example with sample values
Dear Mr. Saxena, for your matter CS 112/2026, please share the original sale deed copy by 22 Oct. You may drop them at our office or upload securely: https://example.com/u/LF1 Thank you.
Replace [Business Name] with your registered brand name. Links shown use example.com as a placeholder; use your own domain.
Placeholders and Sample Values
| Placeholder | Meaning | Sample value |
|---|---|---|
| {{1}} | Client | Mr. Saxena |
| {{2}} | Case ref | CS 112/2026 |
| {{3}} | Documents | the original sale deed copy |
| {{4}} | Date | 22 Oct |
| {{5}} | Link | https://example.com/u/LF1 |
Filling in each placeholder
- Client (sample: Mr. Saxena): Use the first name or the salutation the customer gave you; fall back to a neutral greeting if the field is empty.
- Case ref (sample: CS 112/2026): Use the same reference format that appears on your invoices, receipts or software, so customers and staff can match it quickly.
- Documents (sample: the original sale deed copy): Keep the value short and specific; test the longest realistic value to check the message still reads well.
- Date (sample: 22 Oct): Write dates in an unambiguous form such as 14 Oct or 14 Oct 2026; avoid formats like 10/11 that customers read differently.
- Link (sample: https://example.com/u/LF1): Use your own short, recognisable domain; for SMS in India the domain must be whitelisted on DLT, and each variable is usually limited to 30 characters.
This template has 5 placeholders and a body of 137 characters before values are filled in. WhatsApp allows up to 1,024 characters in a template body, but short messages with one clear action get the best response.
Category and Approval
Utility templates must relate to a specific transaction, account or request the customer already has with you, such as a confirmation, reminder or status update. Do not add offers or promotional lines, as Meta may reclassify the template as marketing.
Compliance Checklist
- The customer has opted in to receive WhatsApp messages from your business, and you keep a record of the opt-in.
- Variables are numbered in order and you provide sample values when submitting; avoid starting or ending the body with a variable.
- Links point to your own website or a trusted domain, and button labels are short and clear.
Rules to keep in mind for Law Firms & Advocates
Bar Council of India Rule 36 prohibits advocates from soliciting work or advertising, although websites with factual information (name, contact, enrolment, areas of practice) are permitted. We therefore focus on informational websites and client-service messages, not promotional campaigns.
General guidance, not legal advice. Rules change, so confirm current requirements before launch. See our WhatsApp compliance guide for India.
Tips for Better Results
- Keep one purpose per message; if you need to send a reminder and a document, the reminder should still make sense on its own.
- Use the customer's name and a reference number so the message is easy to trust and to search for later.
Where this message fits for Law Firms & Advocates
Clients usually look for lawyers when they face a problem, such as a dispute, a property purchase, a visa or a business deal, searching by practice area and location, reading lawyer profiles and reviews, and calling for an initial consultation. Trust, expertise and clarity about fees decide who they choose.
Search and legal directories bring enquiries; LinkedIn and articles build credibility; email carries engagement letters and case updates; SMS sends appointment and hearing reminders; WhatsApp is used for scheduling where clients prefer it.
